Greenfingers Facilities Management (Pty) Ltd, trading as Greenfingers Landscaping ("Greenfingers," "we," "us," or "our"), is based in Paarl, Western Cape, South Africa, and provides landscaping design, installation, and grounds management services across the Cape Winelands, including Paarl, Wellington, Franschhoek, Stellenbosch, Somerset West, Durbanville, and Bellville.

Greenfingers Landscaping is a professional grounds management company operating in the Cape Winelands. We are a SALI (South African Landscaping Institute) principal member. This policy covers personal information processed in the course of our business, including for prospective clients, current clients, estate managers, body corporate trustees, contractors, developers, and website visitors.

We are the responsible party, as defined under POPIA, for the personal information described in this policy.

Information you give us directly

• Name, surname, and contact details (email address, phone number)
• Company or estate name, and job title, where applicable
• Property or site address, where relevant to a quote or project
• Any details you include in enquiry forms, emails, or phone calls regarding a project, quote, or maintenance contract

Information collected automatically

• Standard website usage data (pages visited, browser type, general location inferred from IP address), where our website uses analytics or similar tools
• Interaction data from marketing emails, such as whether an email was opened or a link was clicked, collected through our email platform (GoHighLevel)

Information from third parties

• Publicly available business contact details, where we identify and approach estate managers, developers, or contractors as part of direct business outreach
• Information provided by referral, where an existing client or contact introduces us to a new prospective client

3. How we use your information

We use personal information for the following purposes.

• To respond to enquiries and provide quotes
• To deliver landscaping, design, and grounds management services under a contract
• To send project-related updates and invoices
• To send marketing communications relevant to your role (for example, our seasonal newsletter series for developers and contractors, residential estates, or individual homeowners), where you have subscribed or where direct marketing to your business role is otherwise lawful under POPIA

• Legal obligation, where processing is required to meet accounting, tax, or regulatory requirements

5. Marketing communications

Greenfingers runs email newsletters for specific audiences, including developers and contractors, residential estates and body corporates, and individual homeowners. Each newsletter includes an unsubscribe link.

You can opt out of marketing emails at any time by clicking the unsubscribe link included in every email, or by contacting us directly using the details in Section 10. Opting out of marketing communications does not affect service-related or project-related correspondence.

6. Sharing and disclosure of information

We do not sell personal information. We may share personal information with:

• Service providers who support our operations, such as our email marketing platform (GoHighLevel) and cloud storage providers used to host website and marketing assets
• Subcontractors or team members directly involved in delivering a project or service you have engaged us for
• Regulatory or legal authorities, where required by law

Where we use third-party service providers that process personal information on our behalf, we take reasonable steps to confirm they apply appropriate security safeguards.

8. Data retention

We retain personal information only for as long as necessary to fulfil the purposes described in this policy, including any legal, accounting, or reporting requirements. Project and client records are typically retained for the duration of a business relationship and for a reasonable period afterward for record-keeping purposes. Marketing contact details are retained until you unsubscribe or request removal.

9. Data security

We take reasonable technical and organisational measures to protect personal information against loss, unauthorised access, alteration, or disclosure. This includes restricting access to personal information to those who need it to perform their role, and using reputable third-party platforms for email marketing and data storage.

No system is entirely without risk. If you have reason to believe your personal information has been compromised while in our care, please contact us immediately.
